LATTICE Management / Customer communication
How can you automatically text missed callers?
Use a phone system connected to a workflow that recognizes an unanswered inbound call, checks whether messaging is appropriate and sends a short acknowledgment from your business number. LATTICE Management can configure missed-call text back with a CRM record and a staff follow-up task. A missed call alone is not permission to enroll someone in a marketing campaign.
What should you decide before choosing?
- Reliable unanswered-call detection on your business number
- Correct sender registration and supported messaging setup
- A short service-related acknowledgment, not an unsolicited promotion
- Opt-out checks, repeat-call suppression and human ownership
What should trigger a missed-call text?
Use the call outcome, not a delay guessed from the time of day. Busy, unanswered and voicemail events may need different handling. A call answered by staff should not trigger a message saying you missed it.
Decide what to do with repeated attempts. Several calls from the same number should not produce a stream of identical texts. Suppress duplicates and assign one owner to return the call.
What should the message say?
Keep it recognizable and useful: “Hi, this is the team at [business]. Sorry we missed your call. What can we help you with?” Add any identification and opt-out wording required for the message type and setup.
Do not claim that someone will call within a time your team cannot meet. If the office is closed, say when the team next reviews messages. Do not use the acknowledgment as a pretext for discounts or ongoing marketing.
When should you not send a text?
Check permission and opt-out records before sending. Exclude unsupported destinations, blocked numbers and contacts whose prior opt-out applies. Marketing SMS requires appropriate documented consent; an inbound call does not replace that requirement.
Messaging can fail because a caller used a landline, the number is invalid or the sender is not ready. Keep a staff task as a fallback and record the failed delivery rather than assuming the caller received a response.
[1]How does LATTICE Management connect the reply?
The missed-call workflow can place the caller in a CRM pipeline and connect the reply to a shared conversation. A named staff owner then confirms the service request, books an appointment or calls back. Supported phone setup and exact behavior are confirmed during scoping.
Track returned calls, reply handling and unresolved conversations. Message delivery is a technical event, not evidence that the inquiry has been won.
How do you put this into practice?
Connect the number
Confirm inbound call events, sender setup and registration requirements.
Set eligibility rules
Check applicable consent, opt-outs and duplicate-call handling.
Write the acknowledgment
Name the business and invite a service-related reply.
Test the complete conversation
